Calendar Listings

Throughout the academic year almost every academic department (including the administrative offices) posts events to the CCA web calendar.

In order to best manage the traffic of event postings the web team now requires each request be submitted via an online event request form, which features an easy-to-submit section specifically for calendar event listings.

The form ensures the web editor receives all necessary information to post an effective and timely calendar listing.

Fields marked as required (*) must be completed before an event can be listed in the calendar. Incomplete requests are returned to the sender and placed at the end of the queue when resubmitted (except for time-sensitive listings).

Please allow one week from time of submission to post your event. (Note: events less than five days out cannot be listed in the calendar.)

Checklist:

  • double-check all contact information
  • list a primary contact person
  • provide opening/closing reception information, if applicable
  • include images, if available (note: only thumbnails appear in postings)
  • identify the represented academic program
  • allow one-week minimum to post event

If you experience difficulty with the submission form and you wish to email your event details, please include all details, formatted as indicated below, and send to the web editor:

Event Listing Sample

Event series, such as a lecture or writers series, should be compiled chronologically, listing the most upcoming event first, in a Word document (.doc) and sent as a single attachment to the web editor.

If the event has an accompanying image, such as a photo or other artwork that depicts the event, you may upload the file(s) when completing the calendar event request form or send as an email attachment to the web editor, but make certain to cross-reference the event however you choose to submit.

Please also include a caption or artist credit (or both) for each image either in the body of the email or as a separately attached .doc or .txt file. (Note: The web team does not have the means to secure permission for every image sent to us, so the responsibility for attaining permission to post an image relies entirely on the sender.)

The web editor posts events to the calendar within approximately 5 days of receipt. Always plan events as far in advance as possible. Confirmation of receipt and/or posting is by request only.

Corrections to event postings are made within 1-2 days, time permitting, and can be requested up to and including the day of event. Please state all corrections clearly and always provide the date(s) of the event. (See Website Corrections for additional correction-submission guidance.)
