Web content that's been updated (i.e., new dates, minor corrections, new events) or revised (i.e., new content to an existing page) can be sent directly to web content directly to the web editor. Please allow up to two weeks to complete the request.
If yours is a time-sensitive request, contact the web editor to arrange an agreed upon completion date. The web editor will review the request and work with the web director to place it on the production schedule. Every project is scheduled so that we can honor all projects in the order received.
Chose your preferred method to update your content: Microsoft Word (recommended) or Adobe Acrobat PDF.
Open a new document in Microsoft Word (.doc). Copy and paste the URL (from the web page that's to be updated) to the top of the document. (The URL is the often lengthy text string at the top of the browser's window that starts with "http://www...").
Now copy and paste the text from the desired web page. Turn ON Word’s Track Changes feature. (Download How to Use Microsoft Word’s Track Changes for further instruction.)
Edit/rewrite the text as necessary and Save the document as program name + page title + update (or -revision). File names should be all lowercase with hyphens (no periods or underscores) separating words and abbreviations.
Example:
photo-curriculum-update.doc
Repeat the above steps for each web page update. Then submit a separate .doc file for each updated web page. (Alternatively, you may submit one .doc file in which each web page's updated text is separated by page breaks.) However you choose, be sure it's obvious what content belongs to which pages.
Use Word’s Comments feature to provide line-edit instructions, yet place the broader project directions either in the body of the email or clearly placed in the .doc file, such as at the top (immediate beneath the URL) or even on its own page. Again, just make it obvious.
Once revisions are complete, use the secure CCA Dropbox to send file attachments directly to the web editor. Address your message to jnorrena@cca.edu. (You can attach up to 10 files; otherwise zip, stuff, or archive the files into one file attachment.)
It's best to send each update or revision request (regardless of how many web pages) in one email. Be sure to assign the project a brief description in the email subject field, starting with your department/program, followed by the page title and what kind of request it is (update, rewrite, etc.):
Examples:
Alumni Benefits page update (email #1)
Alumni Gatherings page revised text (email #2)
The web editor is challenged each academic year with updating forms that live on the website as PDFs (portable document format). While editing a PDF is possible (see Editing a PDF below), it's often far easier to make changes to the Word document and then remake the PDF.
Download Turn a Word Doc into a PDF to learn just how easy making PDFs can be, as well as why it's the preferred format for online forms.
All requested downloadable forms should be submitted to the web team as PDFs. We receive far too many forms to add the additional step of creating the PDF to the process.
Make a PDF of the web page you wish to edit using either Word or Acrobat. Then use Acrobat’s Advanced Editing tools to mark up and add comments directly to the page. (Note: Acrobat Professional is required to edit PDFs.)
While it's challenging to add/edit text that exceeds the length of a single line of text, you can insert a call-out box and type the new content. You also can then draw a directional arrow to indicate the text's desired placement.
Save the document using the file-naming recommendations above, and then send as an attachment to the web editor. (For additional information, download How to Mark Up Your PDF.
